1. Information We Collect
To provide our services, we may collect the following categories of nonpublic personal information about you:
- Identifying information — name, address, date of birth, Social Security or taxpayer ID number, and contact details
- Financial information — income, assets, liabilities, bank and investment account numbers, payroll and wage data, and tax return information
- Transaction information — records of transactions you engage in with us or through the accounts we access on your behalf
- Business information — entity formation documents, ownership structure, vendor and employee data (for bookkeeping and payroll clients)
- Information from third parties — data received from financial institutions, employers, taxing authorities, or other sources with your authorization
We collect this information directly from you (through forms, interviews, our client portal, and documents you provide), from your transactions with us, and, where applicable, from third parties acting on your behalf or as required by law.
2. How We Use Your Information
We use your information only to provide the services described in your engagement letter and any related addenda, including:
- Preparing tax returns and financial statements
- Performing bookkeeping, accounting, and payroll processing
- Communicating with you about your account and our services
- Complying with legal, regulatory, and professional obligations
- Maintaining records as required by law or professional standards
Under IRC § 7216, we will not use or disclose your tax return information for any purpose other than preparing your return without your separate written consent.
4. How We Protect Your Information
We maintain administrative, technical, and physical safeguards designed to protect your information from unauthorized access, use, or disclosure, including:
- Secure, encrypted client portals for document exchange and electronic signature
- Access controls limiting information to personnel who need it to serve you
- Ongoing staff training on confidentiality and data security obligations
- Verification procedures for any request to change payment or banking instructions
No system is completely secure. Email is not a fully secure method of communication, and you should avoid sending highly sensitive information (such as full Social Security or account numbers) by unencrypted email. We will never request payment or a change to your banking instructions by email alone — always verify such requests by phone using a number you already know.
5. Your Choices
- You may ask us to correct inaccurate personal information we hold about you.
- You may request a copy of certain records we maintain relating to you, subject to our fees for reproduction and applicable retention policies.
- You may withdraw prior consent to share your tax return information at any time by notifying us in writing; however, this will not affect disclosures already made.
- You may ask questions about this Privacy Statement or our data practices at any time using the contact information below.
6. Data Retention
We retain client records, including personal and financial information, for the period required by applicable law and professional standards — generally at least seven years from the end of an engagement. Records may be retained longer where required by law or where necessary to resolve disputes or enforce our agreements. After the applicable retention period, records may be securely destroyed.
7. Children's Information
Our services are directed to individuals and businesses engaging us for accounting and tax services. We do not knowingly collect personal information directly from children under 13.
8. Changes to This Statement
We may update this Privacy Statement from time to time to reflect changes in our practices or applicable law. We will post the revised statement with a new effective date and, where required by law, provide additional notice.
